Application Documents (6–12 Months Before)

Academic Documents

10th marksheet, 12th marksheet, BTech/MSc transcripts (all semesters), degree certificate or provisional certificate, medium of instruction certificate. Get notarized copies — some universities require originals.

Test Scores

Official GRE/GMAT score reports (sent directly from ETS/GMAC), IELTS/TOEFL score report, DUOLINGO certificate (if applicable). Order score reports 4–6 weeks before deadline.

SOP & LORs

Statement of Purpose (tailored per university), 2–3 Letters of Recommendation on institutional letterhead, CV/Resume (1 page). Have these ready 8 weeks before first application deadline.

Financial Documents

Bank statements (6–12 months, showing sufficient funds), loan sanction letter, scholarship award letters, CA-attested financial affidavit. Required for both application and visa.

Do I need apostille on documents for study abroad?

Most universities do NOT require apostille on academic documents — notarized copies or official transcripts sent directly from your university are sufficient. However, some countries (Germany, Netherlands) may require apostille for certain government documents like birth certificates.

How many copies of documents should I keep?

Keep 5 sets of all key documents: 1 original, 2 notarized copies, 1 set scanned and uploaded to cloud storage, 1 set emailed to yourself. Never travel with only 1 copy of important documents.

When should I start collecting documents?

Start 6–9 months before your intended start date. Gap transcripts (if you took a gap year) and police clearance certificates often take 4–8 weeks. Allow maximum time for government-issued documents.
